Review transaction details and reconcile errors

Review transaction details

Steps

  1. On Avalara AvaTax connector, go to Transactions.

  2. Select From and To dates to display transaction details for that period, for example, Transaction ID, Transaction Date, Tax Calculation Date, Doc Type, Doc Amount, Transaction Amount, and more.
  3. (Optional) Filter the transaction entries.
    If the list has too many entries, you can filter them based on your requirements. To do so, follow these steps:
    1. On the Transactions page, click Filters to open the list of filters.
    2. Select the appropriate filters, and then click Apply.
    3. If you want to remove the selected filter(s), again click Filters > X next to the selected filter(s) > Apply.
  4. Review transaction details in QuickBooks.
    1. In the Transactions table, select a transaction row.
    2. Click More > View in QuickBooks to open the document in QuickBooks.
    3. Review document details in QuickBooks.

    4. If required, make necessary changes and save the document.
  5. Review transaction details in AvaTax.
    1. In the Transactions table, select a row of an invoice, a credit memo, or other document.
    2. Click More > View in AvaTax to open the document in AvaTax.
    3. Review document details in AvaTax.

    4. Select one tax line under Tax Lines to display its tax details under Tax Details Per Tax Line.
    5. (Optional) To view the transaction report, click Report.
    6. Click Close to exit.

View errors reports

Steps

  1. On Avalara AvaTax connector, go to Transactions.

  2. Click View all under Errors to display the following categories of errors.

    • Not found in AvaTax: lists the transactions that are found in QuickBooks but not in AvaTax.

    • Not found in QuickBooks: lists the transactions that are found in AvaTax but not in QuickBooks.

    • Mismatched: lists the transactions that display different details in QuickBooks and AvaTax. 
      To view the differences in the mismatched transactions, click View all under Mismatched.

      The AvaTax Error List link on the top of the Errors page displays the error list in the following format.

  3. To filter errors by category, click the View all link in that category. The corresponding list of errors is displayed.

  4. Select one transaction row from the filtered list.
  5. Click More > View in QuickBooks to open the document in QuickBooks.
  6. Click More > View in AvaTax to open the document in AvaTax.
  7. Compare the two documents in QuickBooks and AvaTax.

Reconcile errors

You can recalculate tax when there is an error in tax calculation or the auto-tax calculation is disabled.

Steps

  1. On Avalara AvaTax connector, go to Transactions.

  2. In the Errors block, click View All. The following categories of errors are displayed:

    • Not found in AvaTax: lists the transactions that are found in QuickBooks but not in AvaTax.

    • Not found in QuickBooks: lists the transactions that are found in AvaTax but not in QuickBooks.

    • Mismatched: lists the transactions that display different details in QuickBooks and AvaTax.

  3. Click View All in the desired category block to display the corresponding list of errors.
  4. Select the desired transaction row(s), and then click Recalculate Tax.

    The Recalculate Tax page displays the transaction details with tax values.
