File a Return

You're ready to file once you import data into TrustFile and reconcile your transaction data.

Avalara files state forms for you. We do this electronically for some states, and in others we manually prepare and file your return on your behalf using login information you provide.

TrustFile eFiling and printable returns aren't functional for all states. If you need help registering to file sales tax with state governments, Avalara partners with Peisner-Johnson to help you collect tax in the states where you're required to collect it. Peisner-Johnson can also help with back-filing and other tax-related special needs.

TrustFile doesn't yet support filing separate local returns, but we do highlight the amount of local tax owed different jurisdictions on our liability report. (In most states, taxes owed by local jurisdictions are collected by the states and are included in the state return.) States that require local sales tax returns to be filed independently of the state return include Alabama, Alaska, Arizona, Colorado, Idaho, and Louisiana. At this time, you'll need to file local returns manually.

Prepare and file a return

There are multiple ways to prepare to file your returns, based on your preferred workflow. Once you've prepared, the steps for filing can also vary depending on when  you file and which state you're filing in.

To file returns:

  1. Tell TrustFile when and which forms to file, and in which states to file:
    • Before you import data, in the sidebar, click Add a State Registration and fill out the form.
    • As you import data, in each state's widget, click Configure and fill out the form.
    • After you import data, to make changes to settings, in the state widget, click State Settings and fill out the form.
    • After you import data, if you didn't choose to enable a state as you imported, in the sidebar, click Show Disabled States and fill out the form.
  2. On the Current Returns page, in the state widget of the state for which you want to file, click File Now.
    • If TrustFile offers eFiling for the state, click the Calendar icon to schedule your payment, and then click File & Remit.
      • If you're filing before a return is due, schedule a payment for any day between today and the due date.
      • If you're filing after a return is due, TrustFile only allows you to schedule a payment for today.
    • If TrustFile doesn't offer transmission/direct file services for the state, when prompted, provide your login credentials for the state so we can file on your behalf. We submit the return by the listed due date.

Remember, if you're not seeing the transaction data you expect, or if any of the numbers appear to be wrong, reconcile the data and troubleshoot discrepancies.

Check the status of returns

Go to States & History, and then click on a state to display returns. The status of each displays in the Status column.

Status Meaning
Accepted You've filed the return and it's been accepted
Accruing You don't file the return monthly, and it's not yet the month in which you file
Due It's time to file the return
File Now It's time to file the return
Filed You use concierge filing, we've filed the return as you requested, and it's been accepted
Filing You've filed the return, but it's not yet been accepted or rejected
Manualfile You've selected the I've Already Filed This Return checkbox for this return
Past Due You haven't filed the return yet, and the due date for filing it  has passed
Prepare It's time to file the return
Rejected You've filed the return, but it's been rejected by the state
Requested You use concierge filing, have approved the return for filing, and the return has been sent to Avalara but not yet filed with the state.
  • Complete the request and approve the return for filing the 10th of the month and due date of the return 
  • You'll receive an email once the filing has been completed
