Install and Configure Avalara AvaTax for QuickBooks Online

Now that you've activated your AvaTax account and set up your tax profile, it's time to install and configure your integration. At the end of this process, you'll send a test transaction to confirm that AvaTax is calculating tax the way you expect. After running a successful test, you'll be able to start using AvaTax!

Activate

Learn how to activate the AvaTax for QuickBooks Online integration, which integrates AvaTax with QuickBooks Online. To log in to AvaTax for QuickBooks Online, new users access AvaTax from QuickBooks Online, and current users directly access AvaTax for QuickBooks Online.

Log in from QuickBooks Online

To log in to AvaTax for QuickBooks Online from QuickBooks Online, follow these steps:

  1. Go to the QuickBooks Online website and click Sign in, or click Sign up to create a new user.
  2. Go to Apps > All Apps, search for AvaTax, and select the app.

  3. On the AvaTax App page, click Get App Now.

  4. On the AVAQBOService page, select the name of the company you want to connect to AvaTax, and then click Authorize.

  5. After your account is authorized, the QuickBooks Online companies page displays the status of the list of companies that are integrated with AvaTax.
    • To integrate a new company with AvaTax, click Integrate.
    • To select a company that's already integrated with AvaTax, click the company name.

  6. To connect to AvaTax, choose one of the following options:
    1. If you're a new user, select your plan and follow the instructions for configuration for new users.

    2. If you already have an AvaTax account, click you can integrate QuickBooks Online with your existing account, and follow the instructions for configuration for existing users.

Log in from AvaTax for QuickBooks Online

To log in to AvaTax for QuickBooks Online from the AvaTax for QuickBooks Online website, follow these steps:

  1. Go to the AvaTax for QuickBooks Online version website.
  2. On the Sign In with Intuit page, click Sign in with Intuit.

  3. On the Intuit App Center page, click Sign In to enter your QuickBooks Online credentials.

  4. First time users may be asked for approval to access user details. Click Authorize.

  5. After your account is authorized, the QuickBooks Online companies page displays the status of the list of companies that are integrated with AvaTax.
    • To integrate a new company with AvaTax, click Integrate.
    • To select a company that's already integrated with AvaTax, click the company name.

  6. To connect to AvaTax, choose one of the following options:
    1. If you're a new user, select a user plan. You're directed to configuration for new users.

    2. If you already have an AvaTax account, click you can integrate QuickBooks Online with your existing account. You're directed to configuration for existing users.

Configure AvaTax for QuickBooks Online

To start using AvaTax for QuickBooks Online, you need to connect AvaTax to QuickBooks Online and configure your account. The configuration steps for new users and current users are different.

Configuration for new users

  1. On the Connect to AvaTax for QuickBooks Online page, click Connect to QuickBooks Online.

  2. On the AVAQBOService page, click the name of the company you want to connect to AvaTax, and click Authorize. (You can only connect one company at a time to AvaTax for QuickBooks Online.)

  3. To set up your tax profile, you need to create a company profile. On the Company Profile page, add the required details, such as your Company Name and Company Code, and click Save And Next >.

  4. To pay for a one year subscription for AvaTax for QuickBooks Online, add your payment details and click Accept & Proceed.

  5. Set up your tax collection location (i.e., set up nexus) for this company. On the Nexus page, select the Location and click Enable Tax Jurisdictions.

  6. You've now successfully set up your tax profile.

    1. To activate the synchronization between AvaTax and QuickBooks Online, click Active. To deactivate the synchronization, click Down.
    2. Click Print Account Info to print your AvaTax account details.
    3. Click Review Configuration to edit the AvaTax configuration and/or change the company details from the Manage your connection and integration page.
    4. Click Go to QuickBooks Online to go to QuickBooks Online.
    5. Click Log out. You don't need to be logged in to use AvaTax for QuickBooks Online.
  7. On the Manage your connection and integration and Integration Complete pages:
    1. To change the company, go to the top left corner and next to QuickBooks Online Company, select the company. 
    2. To activate the synchronization between AvaTax and QuickBooks Online, click Active. To deactivate the synchronization, click Down.
    3. Click Disconnect to disconnect the selected company from QuickBooks Online
    4. Click Edit Configuration or Review Configuration to edit the AvaTax configuration and/or change the company details.
    5. Click Enable Tax Jurisdictions(s) to setup nexus.
    6. Click Log out. You don't need to be logged in to use AvaTax for QuickBooks Online.

Current users

To setup the configuration for current users, follow these steps:

  1. On the Connect to AvaTax for QuickBooks Online page, click Connect to QuickBooks Online.

  2. On the AVAQBOService page, click the name of the company that you want to connect to AvaTax, and click Authorize. (You can only connect one company at a time to AvaTax for QuickBooks Online.)

  3. On the Welcome page, enter your AvaTax credentials and click Link my Avalara Account to manage your connection and integration.

  4. If you have a company linked to this account, on the Link Company page, select the company to link and click Link Company. If the connection for this company is successful, confirmation message displays.

  5. If you do not have a company linked to this account or you want to create a new company:
    1. On the Link Company page, select Create New Company and click Create New Company.
    2. On the Company Profile page, add the required details, such as your Company Name and Company Code, and click Save And Next >.

    3. Set up your tax collection location (i.e. set up nexus) for this company. On the Nexus page, select the location and click Enable Tax Jurisdictions.

  6. Manage your connection and integrate QuickBooks Online to AvaTax.

  7. To complete the integration, click Integrate.

  1. To change the company, go to the top left corner and next to QuickBooks Online Company, select the company. 
  2. To disconnect the integration, click Disconnect.
  3. To edit the configuration, click Edit and on the Edit Configuration page, fill in the following details:

    • AvaTax Credentials:
      • Avalara Environment: Depending on which type of AvaTax account you have, click Production or Development.
      • Avalara Account Number: Avalara emailed this to you when you set up your AvaTax account.
      • Avalara License Key: Avalara emailed this to you when you set up your AvaTax account.
      • Avalara User Name and Avalara Password: Account credentials for the user accessing your AvaTax account.
      • Avalara Company Code: Displays the company code for the selected company.
      • Avalara Company: Avalara emailed this to you when you set up your AvaTax account.
    • Integration options:
      • Email address to receive AvaTax for QuickBooks Online system messages: Select an email address that will receive email messages if AvaTax for QuickBooks Online experiences an error and enter it here.
      • Calculate Tax:
        • If you click Tax All Customers, AvaTax will calculate tax for all your customers regardless of their configuration in QuickBooks Online.
        • If you click Tax Only Taxable Customers, AvaTax will calculate tax only for the customers that you configure as taxable in QuickBooks Online.
      • Enable Address Validation: AvaTax will validate customer address only if this field is set to True.
      • Select QuickBooks Online Tax Product/Item Name mapped with sub account of type Sales Tax Payable for integration: AvaTax will calculate the tax and accumulate it against Sales Tax, the Tax Product/Item selected.
    • Click Save.
  4. To log out, click Log out.
