How do I set up a monthly recurring prepayment or prior payment for returns?

You want to know how to set up a recurring pre-payment or a prior payment amount each month for returns. This is a support article, see Recurring Prepayments and Prior Payments for an overview.

Avalara Returns

NOTE: For any of the steps below, if you are a new customer or Avalara doesn't have a year's worth of prepayment data for you, you will need to fill out this Excel Prepayment Template Grid and send it in via the case submission form.

  • To make sure that you're properly set up for recurring pre-payments and prior payments, make sure that you have the appropriate returns scheduled.
    • For states that require you to file on a quarterly frequency but with monthly pre-payments, add an additional return form for the pre-payment on top of the one already setup for your return:
      • CA - CA Prepayment
      • IA - IA Monthly Deposit (different from IA Bi-Monthly pre-payments)
      • NJ - NJ ST-51
      • NY - NY ST-809 - NY also has the PrompTax program which is an additional payment on top of the monthly pre-payments.
      • *the above states' monthly prepayments are based on current period data, prior year data does not need to be provided.

  • For states that require once a year pre-payments, add an additional return form:
    • VA - VA Accelerated Payment
    • AZ - TPT ES
    • MN - Prepay
    • WV - Please create a Support Case to get this return form set up
  • For states that require a pre-payment on top of the monthly return but the payments must be separate of the filed return, an additional return form is also needed:
    • MA - MA Monthly PrePayment
    • OK - OK Monthly Pre-payment
    • PA - PA Monthly Pre-payment
  • Currently, one state has a separate return form for a combined return and pre-payment.
    • AL - AL 2105
    • KY - KY 51A103
    • To activate either return please submit a case in addition to providing any period data that Avalara does not have 12 months prior to the start of filing.
  • At this time, Managed Returns does not support pre-payments for the states listed below. You must make the payments directly to the state and then report the prior payments in AvaTax so that we do not pay the same liability again.
    • AR
    • IA - IA Bi-Monthly Deposit (different from IA Monthly pre-payments)
    • IL
    • MI
    • MO
  • Avalara can't support the calculation of Texas prepayment, but we can make the pre-payment if it is added to your scheduled returns.

If you have prepayment requirements for the following states, please notify our Compliance team via case submission so they are able to turn the system calculation on:

  • FL
  • GA
  • KS
  • NC
  • OH

Once you have scheduled any necessary return forms in AvaTax, contact our Support team to ensure your pre-payment requirements are thoroughly documented. Make sure to include whether you have a set pre-payment amount, and what that amount is, or if you want us to calculate the pre-payment based off of each state's requirements.
