Why is AvaTax not in the File menu for QuickBooks?

Overview

After installing the AvaTax for Quickbooks software, AvaTax is not on the File menu.

Environment

Resolution

  • The most common reason for a missing AvaTax File menu option is not running the AvaTax installer file as Administrator.
    • First, in Quickbooks, go to the Edit > Preferences > Integrated Applications > Company Preferences
      • Make sure there is only one copy of AvaTax listed
        • If there is more than one, delete the oldest version
    • Next, close Quickbooks and pull up the Program and Features (also known as Add/Remove Programs) and make sure AvaTax is installed on the local machine
    • Pull up the Task Manager and go to Processes tab
      • End all AvalaraEventCallBack, AXLBridge, QB, Quickbooks, and Intuit programs
      • Pull up a Windows Explorer
        • Go to C:\Program Files (x86) or C:\Program Files, if you have the 32 bit version of Windows
      • Right click on the Avalara folder
        • Go to Properties > Security > Edit
        • Click through the list of 'Group or User names' and make sure all groups and users listed have Full Control 
          • If you find a user or group that does not have Full Control or Special Permissions selected, click the Allow Full Control box and press Apply for each group and user
      • Close the Task Manager
      • Restart Quickbooks and log in as Admin
        • You should see the AvaTax window pop-up and disappear or pull up the Error List
        • Go to the File menu and see if the AvaTax option is now present
        • If AvaTax is now present, go to File > AvaTax > Configuration and press the Test Connection button
  • If the first set of instructions do not resolve the issue, close Quickbooks
    • Pull up the Task Manager and go to Processes tab
      • End all AvalaraEventCallBack, AXLBridge, QB, Quickbooks, and Intuit programs
      • Close the Task Manager
    • Go to the Start menu and type in "CMD"
      • Right-click on cmd.exe and click 'Run as Administrator'
      • In command prompt, type "cd "C:\Program Files (x86)\Avalara\AvaTax Adapter\Bin" " and hit enter.
        • (This is the default path, it can be different depending on the path used for the install of that specific workstation)
        • Type "unregister_for_callback.bat" and hit enter
          • You will see a bunch of messages, but the one we look for says "Type registered successfully".
        • Type "unregister_for_adapter.bat" and hit enter.
          • You will see a bunch of messages, but the one we look for says "Type registered successfully".
        • Type "register_for_callback.bat" and hit enter
          • You will see a bunch of messages, but the one we look for says "Type registered successfully".
        • Type "register_for_adapter.bat" and hit enter.
          • You will see a bunch of messages, but the one we look for says "Type registered successfully".
      • If you are still receiving the error, or cannot calculate tax, go to C:\Program Files (x86)\Avalara\AvaTax Adapter\Bin
        • Delete the files Avalara.AvaTax.Adapter.tlb and AvalaraEventCallBack.tlb
        • Repeat the registration the unregister_for and register_for process listed above
