Install and Configure Avalara Connector for ServiceMax

This article applies to:Connector for ServiceMax

The connector for this integration is in "sustaining" mode. This means there are no new versions planned, and current versions won't be enhanced. Any issues identified will only be fixed on an as-needed basis.

After you activate AvaTax and set up your company profile, install and configure the connector for your business application. During configuration, customize your setup to fit your unique business needs for things like:

  • Tax calculation settings for various tax types
  • Exemption settings if you have exempt customers
  • Product taxability settings

Alter these settings when your business needs change.

Download Connector for ServiceMax

If you didn't already, download your integration software to connect your business application to AvaTax. 

  1. In AvaTax, go to Settings > Integrations > Manage.
  2. Depending on your business application, do one of the following:
    • Select See connector versions, select the most recent version, and then select Download.
    • If you don't see a Download button, select Help and Support for detailed instructions. You may need to log in to your business application website before you see help documentation.
  3. If you downloaded a file, in your Downloads folder, right-click the .zip file and extract the installation folder or file (.exe or .pdf or .msi). 

Install Connector for ServiceMax

To install Connector for ServiceMax:

  1. Open the installation folder you downloaded from AvaTax, open the PDF, and then click the package download link.
  2. On the Package Install page, select Install for All Users, and click Install.
  3. Click Done to complete the installation.

Configure Connector for ServiceMax

To configure Connector for ServiceMax:

  1. On the ServiceMax homepage, add a new tab to the menu by clicking + on the menu bar.
  2. Click Customize My Tab, add the Avalara and Entity/Use Code tabs to the Selected Tabs field if they aren't already there, and then click Save.
  3. On the Avalara tab, click Go!.
  4. Click New, add or modify the following, and then click Save:

    Avalara Account Detail
    • Avalara Account Name: Enter a name for the account. We recommend AvaTax.
    • Active Avalara Setting: Select to activate this account.
    Avalara Credential
    • Service URL: Enter if you have an AvaTax development account or if you have an AvaTax production account.
    • Account ID and License Key: View your account number in AvaTax. Select Settings > All AvaTax settings. The account number is listed at the top of the page as your Account ID. If you don't know your license key, get a new one.
    • Company Code: Enter the company code you entered when you activated your AvaTax account. Every accounting software that works with AvaTax uses a company code to identify itself to AvaTax.
    Origin Address Enter the address used for calculating sales tax using AvaTax for your transactions.
    Address Validation Settings
    • Enable AvaTax address validation: If you disable address validation, AvaTax uses the customer's ship-to address as entered to calculate the correct sales tax. Sales tax might be calculated incorrectly if this option is disabled.
    • Optional: Verify Validated Addresses: Select to manually replace unvalidated addresses with validated addresses in ServiceMax. Clear to make validated addresses replace unvalidated addresses automatically.
    Tax Calculation Settings
    • Enable AvaTax tax calculation: If you choose to disable tax calculation, your accounting software no longer uses AvaTax to calculate tax on transactions.
    • Optional: Re-calculate Tax Upon Invoice Editing: Select both this and Enable Tax Calculations to have AvaTax calculate sales tax when you save the quote or opportunity if the address, amount, or quantity changes. You may pay more for your AvaTax service if you select this option as it increases the number of transactions that you send us.
    • Customer Code Field: Select which value to use as the Avalara Customer Code during sales tax calculation.
    • Post WorkOrder on Status: Select the status to be displayed for a work order after it's committed to AvaTax.
  5. Click Test Connection, and then
    • If you see a success message, click OK.
    • If you see any other message, verify your account credentials and company code, and then try again.

Customize page layout

To configure the page layout of the QuotesOrdersContractsOpportunitiesAccounts, and Products pages so that ServiceMax displays fields necessary for AvaTax to calculate tax:

  1. On each page, click Edit Layout, and then click Fields.
  2. In the Detail section of each page, add the following fields and buttons:
