Add an AvaTax Exemption Certificate

In AvaTax, tax exemption can be availed by uploading the valid tax exemption certificate, you can follow either one of the below methods to upload the tax exemption certificate:

  • Upload AvaTax exemption certificate in Salesforce Backend
  • Upload AvaTax exemption certificate in the Avalara CertExpress 

Upload AvaTax exemption Certificate in Salesforce Backend

This section explains the procedure, how the Salesforce B2B commerce lightning admin can add tax exemption for their buyer’s account.

Before you begin

  • Make sure the Avalara AvaTax Salesforce Mapper 1.72 version is installed.
  • Make sure your company code is activated with the CertExpress certificate.
  • Collect and store the respective buyer account’s tax exemption certificate in your local machine. 

Storefront Configuration:

  • In the MyStore page, use Experience Builder, go to the My Account section and create a new tab. Drag and drop the component Manage AvaTax Certificates to the new tab and click Publish.

Backend Configuration:

  • Select the setup icon, search for Flows. Select the AvaTax checkout Summary Subflow and then Edit Screen. Now drag and drop the component AvaTax Exemption Certificate and enter the following values, then click Done.

  • Select the setup icon, search for Custom Object, in Object Manager, select Edit then in Page Layout do the following: 
    • Drag and drop the AvaTax Exemption Certificates object to the Account’s Related section.
    • Drag and drop the AvaTax Message, AvaTax Exemption Customer Id, AvaTax Company Ids and AvaTax Compliance Exchange fields to the Account’s Details section.

Steps to Add Tax Exemption Certificate

  1. In Store Settings, after entering the necessary details enable “AvaTax Exemption” toggle, save store settings. If you are a new customer, see Establish a connection between Salesforce B2B Commerce Lightning and AvaTax for initial set up.
  2. In the Accounts page, select the Buyer Account for which AvaTax exemption certificate needs to be uploaded.
  3. Now the  selected buyer account records must be updated to the CertExpress, to do that select AvaTax Compliance Exchange button, AvaTax Compliance Document Exchange wizard opens, you can see Save Customer (Selected by default) and  Invite Customer buttons.
  4. When the Save Customer button is selected, company code and customer Id get auto populates, you can enter the below mandatory fields:
    • Email Id (Recommended)
    • Billing Address
    • Billing Street
    • Billing City
    • Billing State/Province
    • Billing Zip/Postal Code
    • Billing Country
  5. Click Save button to update the buyer account details to the AvaTax CertExpress.
  6. To create a tax exemption certificate for the buyer account, in the Related tab, select New on the AvaTax Exemption Certificate object, New AvaTax Exemption Certificate wizard opens, enter the following details and click Save.

    Enter certificate name. For example, Cert 1

    Exemption Reason

    Select exemption reason. For example, RESALE

    Expiration Date

    Enter expiry date

    Exposure Zone

    Select exposure zone. For example, California

    Enter signed date

  7. The certificate is created in the Salesforce. To save the certificate details into the AvaTax, select the Manage Compliance Document button, a wizard opens with the fields: Company and Customer. Verify the auto populated values and click Save.
  8. You can see the Certificate Status as Certificate record is saved in AvaTax successfully and the AvaTax Certificate Mapping field auto populates the value with a company Id and certificate Id.
  9. In the certificate page, select Add Files in the Related section and upload the AvaTax exemption certificate soft copy from your local drive (The supported formats are JPG, JPEG, TIFF and PDF).
  10. The soft copy of AvaTax exemption certificate uploaded in the Salesforce must be uploaded into the AvaTax. Select the Upload Compliance Document button, a wizard opens with the files. Select the company name from the drop down and select the file, click Upload.
  11. When an order is made in the store front from this buyer account with a Ship To address within the defined Exposure Zone, then in the check out page, the Estimated Tax will be $0.00
  12. When a tax exemption certificate is added, Invalidate button will be enabled in the Manage Compliance Document wizard. Admin can revoke the certificate and the tax exemption will be removed.

Invite a Buyer Account User

Salesforce B2B commerce lighting admin can invite a buyer account user to upload the tax exemption certificate in the AvaTax CertExpress.

Steps to trigger Mail

  1. In the Accounts page, select the buyer account for which invitation to be sent and whose AvaTax exemption certificate needs to be uploaded.
  2. Now the  selected buyer account records must be updated to the CertExpress, to do that select AvaTax Compliance Exchange button, AvaTax Compliance Document Exchange wizard opens, you can see Save Customer (Selected by default) and  Invite Customer buttons.
  3. When the Save Customer button is selected, company code and customer Id get auto populates, you can enter the below mandatory fields:
    • Email Id (Recommended)
    • Billing Address
    • Billing Street
    • Billing City
    • Billing State/Province
    • Billing Zip/Postal Code
    • Billing Country
  4. Click Save button to update the buyer account details to the AvaTax CertExpress.
  5. Again select the AvaTax Compliance Exchange button and now select Invite Customer and fill in the following:

    Auto populates the respective customer Id

    Email (Mandatory)

    Enter the email id for which invitation to be sent

    Exemption Reason

    Select exemption reason. For example, RESALE

    Exposure Zone

    Select exposure zone. For example, California

  6. The entered mail id will receive an invitation with the Avalara CertExpress link to upload the AvaTax Exemption Certificate.

Upload AvaTax exemption certificate using Avalara CertExpress

The salesforce buyer account user can upload their tax exemption certificate in either of the following ways:

  • Admin Invitation Mail – Refer the Invite a Buyer Account User section above.
  • Storefront – While checking out if the estimated tax amount is more than zero, the buyer can select Is this purchase tax-exempt? Button to add exemption certificate. After adding the valid exemption certificate, select the Validate Tax button in the checkout page to recalculate the tax.

Manage Existing Certificates

The buyer account user can manage certificates, in the My Accounts page of the store front, from the newly created tab where the Manage AvaTax Certificates component is linked. 

Also, In the check-out page, user can select the Manage Existing Certificates button to view all the exemption certificates, revoke a tax exemption certificate and add a new tax exemption certificate.
