Map many items to Avalara tax codes at once in NetSuite

This article applies to:AvaTax for NetSuite

Some products—such as clothing, food, software, medical supplies, software subscriptions, and freight—are taxed differently depending on where they're sold. To get the most accurate rate for these items, map them to Avalara tax codes. If you don't map items to Avalara tax codes, all products and services are taxed at the standard rate for each jurisdiction.

Before you begin

  1. Review the guidelines for mapping items to Avalara tax codes if you aren't sure whether to map items in NetSuite or AvaTax.
  2. Before you map an item to an Avalara tax code, add the AvaTax Taxcode field to the list of NetSuite fields.

Steps

  1. Download the item import toolkit.
    1. In AvaTax go to Settings > What You Sell.
    2. Select Import Items.
    3. Download the Item Import toolkit and the Avalara tax code list.
    4. Create the import file using the item and tax code import template guidelines.
  2. Import the file into NetSuite.
    1. In NetSuite, go to Setup > Import/Export > Import CSV Records.
      The Import Assistant page opens.
    2. On the Scan & Upload CSV Files tab, select the following:
      1. Import Type: Select Items.
      2. Record Type: Select the type of record you are importing.
      3. Character Encoding: Select Western (Windows 1252).
      4. CSV Column Delimiter: Select Comma.
      5. CSV File(s): Select ONE FILE TO UPLOAD.
      6. Select Select.
        The File Upload window displays.
      7. Navigate to and select your CSV file, and then select Open.
      8. Select Next.
        The Import Options tab opens.
    3. For data handling, do the following:
      • Select Add to add new items and codes.
      • Select Update to update existing items with new codes.
      • Select Add and Update to add items that don't exist and update ones that do (recommended).
    4. Select Next.
      The Field Mapping tab opens.
    5. Associate fields from your CSV file with NetSuite fields:
      1. Map the Item field from your CSV file to the Item Name/Number NetSuite field.
      2. Map the Tax Code field from your CSV file to the AvaTax TaxCode NetSuite field.

        What if the AvaTax Taxcode field isn't available?

      3. Select Next. (See an example of how to map the Item and Tax code fields to fields in NetSuite.)
    6. On the Save Mapping & Start Import tab, enter an import map name and a description.
    7. Select Save & Run.
