Create a user

As a manager or administrator, you can create a user to provide an individual with access to the application. 

Steps

  1. On the right side of the navigation bar, select the drop-down arrow, and then select Setup
  2. Go to Security > Users, and then select New user
  3. Enter the user information. 
    1. Enter the first and last name of the user. 
    2. Enter the contact details. 
    3. Search and select a person to assign that person as the manager of this user. 
  4. Enter the login information. 
    1. Enter the email address. 
    2. Select the Role drop-down list, and then select a role. 
    3. Select the Active drop-down list, and then select Yes to activate the user.  
  5. Select the user rights details.
    The application provides new users with access to all entities, regions, states, and license types. However, to restrict a user from accessing specific data: 
    • To provide access only to the specific entities, select the Entity access drop-down list, and then select Selected entities only.  
    • To provide access to only specific regions, select the Region access drop-down list, and then select Selected regions only
    • To provide access to only specific states, select the State access drop-down list, and then select Selected states only.
    • To provide access to only specific license types, select the License type access drop-down list, and then select Selected license types only.  
  6. Select Save
  7. Review or amend the following information: 
    • To add a user group, click User groups > Associate user groups
    • To access or change the license managed by this user, select the Managed licenses tab.
    • To view, edit, access, or change the contract managed by this user, select the Managed contracts tab. 
    • To view or change the batch managed by this user, select the Managed batches tab. 
    • To view or change the lease managed by this user, select the Managed real estate leases tab.  
    • To view, edit, or change violations managed by this user, select the Managed violations tab. 
  8. When you choose to provide restricted access to only selective entities, regions, states, or license types to a user, the application displays additional tabs to select the related records.
    • To search and add the required entity for this user, select the Entity access tab, and then select Associate entities
    • To search and assign the required region for this user, select the Region access tab, and then select Associate regions
    • To search and assign the required states for this user, select the State access tab, and then select Associate states
    • To search and add the required license type for this user, select the License Type Access tab, and then select Associate license types.

      Note: It is not sufficient to only opt for restricted access using the User rights section; you must also assign specific records in the applicable tabs. For example, when you need to restrict entities access to a specific entity and click Selected entities only, you must go to the Entity access tab and select the entity. If you do not provide access to any entity, the user doesn’t get access to any existing entity in the application. 

The Application sends an automated email to the new user with a link to set up a password.
