Fix exemption import errors

If there are any errors when you import exemptions, AvaTax creates a spreadsheet error file to help you resolve the issues. Download an exemptions error file and then review this guide for help fixing the errors.

Exemptions import error messages

Here are the error messages you might see in an error file, as well as what they mean and how you can fix them.

Error message What it means Which column in the error file How to fix it
Address 1 cannot be empty. The Address 1 field is empty. E Enter a street address in the Address 1 field.
City cannot be empty. The City field is empty. G Enter a city name in the City field.
Country can not be empty. The Country field is empty. H Enter a 2-letter country code in the Country field.
Region cannot be empty for US or Canada. The Region field is empty, and is required for customers with US or Canada addresses. H and I Enter the two-letter region abbreviation in the Region field.
Postal Code was not valid. The Postal Code field is empty, or includes a postal code that is not valid. J Correct the ZIP or postal code in the Postal Code field. 
Invalid State and Country combination for US or Canada. The provided Region is not recognized. H and I Make sure that you use the standard 2-letter abbreviation for US states or Canadian provinces in the Region field.
Certificate signed date value provided not a valid date. The certificate Effective Date is missing or in an invalid format. U

Make sure the Effective Date follows the format mm/dd/yyyy.

Certificate expiration date value provided is not a valid date. The certificate Expiration Date is missing or in an invalid format. V Make sure the Expiration Date follows the format mm/dd/yyyy.
Certificate signed date cannot be greater than the certificate expiration date. The certificate Effective Date is later than the certificate Expiration Date. U and V Adjust the Expiration Date to a date later than the Effective Date.
Exemption Reason cannot be empty. The Exemption Reason field is empty. O Enter an exemption reason in the Exemption Reason field. See Guidelines for the exemptions import template for a list of available exemption reasons.
Exemption Number cannot be empty. The Exemption Number field is empty. Q Enter an exemption number in the Exemption Number field.
Certificate exposure zone not found in the region value provided. The Issuing Country or Issuing Region fields are empty or include an invalid country or region abbreviation. S or T Make sure that the Issuing Country and Issuing Region fields use the standard 2-letter abbreviations for US and Canada.
Business Type Number cannot be empty. The Business Type Number field is empty. M Enter a Business Type Number between 1 and 20. See Guidelines for the exemptions import template for a full list of business types.
Business Type Number must be between 1 and 20. X does not match The Business Type Number provided is not a number between 1 and 20. M Enter a Business Type Number between 1 and 20. See Guidelines for the exemptions import template for a full list of business type values.
Business Type Description can only be used with Business Type Number 20. A Business Type Description is only accepted when using Business Type Number = 20. M and N
  • If you need to enter a business type description, enter number 20 into the Business Type Number field.
  • If you are using a business type number other than 20, remove the Business Type Description.
Certificate Type value provided is not a valid certificate type (BLANKET, SINGLE, or SINGLE USE). The Certificate Type field is empty, or in an invalid format. K Make sure that you enter a Certificate Type of BLANKET or SINGLE. If you use SINGLE, be sure to provide a PO number in column L.
Invoice/PO# cannot be empty when Certificate Type is SINGLE. The Invoice/PO # is empty. A PO number is required when creating a single-use certificate. K and L Enter a PO number in the Invoice/PO # field. Single-use certificates only apply to AvaTax transactions that use this same PO number.
