Data and template types

When filing VAT Returns in certain countries, such as Poland, submitted data must meet the Standard Audit File for Tax (SAF-T) requirements. View more information on SAF-T and filing VAT returns in Poland.

Depending on the nature of your business, the type and number of files that you will need to upload will differ.

Commonly requested data includes:

  • Monthly AvaTemplate
  • Monthly Amazon VAT Transaction report
  • Completed Cost Price List template
  • Completed Variable VAT Rate template

Note: Where currency conversion is required, please use the relevant European Central Bank foreign exchange reference rate.

AvaTemplate

The AvaTemplate is an MS Excel file used to report transactions.

The AvaTemplate is available to download here: AvaTemplate.xlxs.

The template contains several examples of possible transaction types and each column includes a descriptive note to help customers understand what data to provide and in what format. It is important that the information is provided in the correct format.

The following information will assist with completing the template correctly:

  • Only use the template provided.
  • Save and upload it as an XLSX file, not CSV.
  • Please do not add new sheets, columns, total rows, or alter the format, structure, or headings of the template. Doing so renders the template incompatible with our system.
  • When entering monetary values, please do not include any currency symbols or other currency denominators, just include the actual numerical value. 
  • Please ensure VAT Numbers do not contain any spaces before, after, or within the number.
  • Please ensure dates are entered in the format DD/MM/YY.
  • Please enter country codes using the appropriate two alphabetic character ISO Standard 3166 code.
  • Please enter currency codes using the appropriate three alphabetic character ISO Standard 4217 code.
  • Please send only one AvaTemplate per month and include all transactions on the same sheet, they should not be split per country or transaction type. The only exception to this would be if there are more than 100 000 rows in the template, we may ask you to split your data into one template per country to ensure the system can process the templates efficiently.
  • The template contains sample data, before adding your data, please ensure you remove Column Q along with all other sample data.
  • The AvaTemplate is to be filled in from your company’s perspective.
  • When calculating the figures for columns M to P, please ensure you are correctly reflecting your Distance Selling Threshold/Opting Status.
  • Any free shipments with zero value do not need to be included in the AvaTemplate.

Once the relevant files have been created, they can be uploaded to Avalara VAT Returns.

Amazon VAT Transaction Report (AVTR)

The Amazon Vat Transaction Report (AVTR) is a text file used to report transactions on Amazon.

This AVTR report is downloadable from Amazon Seller Central. Please do not alter the file, just download it and send it to us.

Follow these steps to download a copy of your Amazon VAT Transaction Report.

  1. Log onto Amazon Seller Central and click on Reports > Fulfillment by Amazon.
  2. In the Tax sub-section, click on Amazon VAT Transaction Report.
  3. Select the relevant month then select the Request Download button.
  4. Once the files have been downloaded, the data can be uploaded to Avalara VAT Returns.

Data is downloaded by month so for quarterly filing, three separate downloads will be required.

Cost Price List

The Cost Price List template is an MS Excel file used to report the cost price of goods sold for VAT reporting purposes. For Amazon sellers, the Cost Price List template only needs to be submitted for transactions that are "FC transfers", the movement of stock between fulfillment centers.

The Cost Price List template is available to download here: Cost price list.xls.

The following information will assist with completing the template correctly:

  • Only use the template provided.
  • Save and upload it as an XLS file, not CSV.
  • Please do not add new sheets, columns, total rows, or alter the format, structure, or headings of the template. Doing so renders the template incompatible with our system.
  • When entering unit cost, please do not include any currency symbols or other currency denominators, just include the actual numerical cost value.
  • Please ensure ASIN numbers do not contain any spaces before, after, or within the number.
  • Please enter currency codes using the appropriate three alphabetic character ISO Standard 4217 code.

Each column in the template includes a descriptive note to help customers understand what data to provide and in what format. Please ensure all columns are completed correctly before submitting. If you are required to submit this data, the team will reach out to you with further details.

Once the relevant files have been created, they can be uploaded to Avalara VAT Returns.

Variable VAT Rate Template

The Variable VAT Rate Template is an MS Excel file used to report the variable VAT rate of certain goods.

The Variable VAT Rate Template is available to download here: Variable VAT rates.xls.

The following information will assist with completing the template correctly:

  • Only use the template provided.
  • Save and upload it as an XLS file, not CSV.
  • Please do not add new sheets, columns, total rows, or alter the format, structure, or headings of the template. Doing so renders the template incompatible with our system.
  • Please ensure ASIN numbers do not contain any spaces before, after, or within the number.
  • Please enter country codes using the appropriate two alphabetic character ISO Standard 3166 code.
