Transaction reports and reconciliation methods

This page will take a look at the Transaction Reports section in VAT Reporting.

From this page, you can generate various reports to help you check your returns, keep track of any changes and ensure accuracy in your reporting.

Getting started with Invoice Line reports

  1. Head to the Reports section, then select Transaction Reports.
  2. From the drop-down on this page you have a range of report type options, in this guide we will take a look at Invoice Lines, Intrastat Lines, Changes Log, and Delete Log.
  3. The other options on this list are covered in this guide.
  4. Let's start by selecting Invoice Lines from the drop-down.
  5. Enter your chosen Start Date and End Date, you can select to search by Transaction Date or Invoice Date once you have selected your search parameters select Apply.
  6. The transactions will then populate below the search section. Please note this will contain all transactions for your selected dates.
  7. You can then see more detail for the lines on your report, including DocID, Invoice Number, Reporter ID, VAT Number and more.
  8. You can click Export Current Table as CSV to download a spreadsheet copy of this report.

Intrastat lines reports

  1. From this same page, you can select Intrastat Lines in the drop-down to generate a detailed breakdown of all Intrastat details on a month by month basis.
  2. Once you have selected the report type choose the Month and Year you want to report on.
  3. Click Apply to generate your report.
  4. The report will show all Intrastat lines for your chosen period, you can scroll across to see all the relevant details for these items including DocumentID, Date, Direction, VAT Number, and more.
  5. You can click Export Current Table as CSV to download a spreadsheet copy of this report.

Changes Log

Keeping a clear record of any changes made in your VAT returns and other filings is incredibly important, the Changes Log report allows you to get a quick overview of any changes made in VAT Reporting.

  1. Select Changes Log from the report type drop-down. 
  2. Select the Company you want to report for, and enter the Start Date and End Date.
  3. Click Apply to generate the report.
  4. The report below will then show you any changes made to the transactions for your chosen company and date, 
  5. The key fields here are the Old Value and New Value fields, here you can see exactly what changes were made and what replacement information was included.
  6. The Changed By field shows you who made the change, and the Change Date field shows when the change was made.
  7. The Parent File field here shows the original file in which the adjusted transaction sits.
  8. You can click Export Current Table as CSV to download a spreadsheet copy of this report.

Delete Log

The Delete Log option can be selected from the report type drop-down, this report functions exactly the same as the changes log described above, however this report will show you information about any deleted items in VAT Reporting including why they were deleted.

VAT Code History

  1. The VAT Code History report is used to keep track of any changes or adjustments made to VAT Codes.
  2. Select VAT Code History from the report type drop-down.
  3. Select the company you wish to report on.
  4. Click Apply to generate the report.
  5. The report will display below, from here you can see what VAT codes and VAT rates were used for all items related to your chosen company.
  6. You can click Export Current Table as CSV to download a spreadsheet copy of this report.
