Symbols

* (asterisk)
A symbol to indicate the company is the Default Company for the AvaTax account.
§ (section mark)
A symbol to indicate a company is a Separate Reporting Entity for the AvaTax account.

A

accounting, ERP, e-commerce, m-commerce, or POS application
A sample of the typical programs into which the AvaTax service is integrated.
address validation
An AvaTax feature that corrects, verifies, and formats addresses.
alert
A notification of an important event that affects an AvaTax account.
authorization
A right to access an AvaTax account by a partner. Authorization also includes the ability to use AvaTax to calculate tax and record transactions.
AvaTax, AvaTax Basic service, AvaTax Pro service
A web service providing fast, easy, accurate, and affordable sales tax management services.
AvaTax account
The combination of a license key and an account number that allows access to the AvaTax service.
Admin Console
The browser-based, graphical user interface to the AvaTax service.
AvaTax Basic subscription
A level of access to the AvaTax Basic service that includes the use of all AvaTax features with the exception of AvaTax System tax codes and their associated tax rules. See also AvaTax, AvaTax Basic service, AvaTax Pro service.
AvaTax
A part of the AvaTax service that processes tax calculations according to the tax profile of a company.
Certs
A software as a service (SaaS) application that offers advanced tools for exemption certificate collection and management. Users can upgrade to Certs from the free ECMS service provided by the Admin Console. Certs is both a service integrated with AvaTax and a "system of record" for exemption certificates .See also Exemption Certificate Management System (ECMS).
Certs ID
A unique identifier for an Certs exemption certificate entry in AvaTax.
Certs exemption certificate
An actual exemption certificate stored and managed in Certs.
Certs exemption certificate entry
Information from an Certs exemption certificate, but not the exemption certificate itself. This information is stored and managed in AvaTax and used in place of the actual exemption certificate.
AvaTax Pro subscription
A level of access to AvaTax Pro service that includes the use of all AvaTax features including AvaTax System tax codes and their associated tax rules. See also AvaTax, AvaTax Basic service, AvaTax Pro service.
Returns
A completely outsourced solution for managing your sales and use tax returns and remittance.
Returns Calendar
A record of the filing frequency of the tax return forms for each state that a company files.
Returns state
Any state that is not an SST state.
AvaTax System Tax Codes
A set of predefined Tax Codes representing hundreds of different products, services, or charges.

C

Certified Service Provider (CSP)
An agent certified to perform the collection and remittance of sales and use taxes on behalf of a seller. Avalara, Inc. is a Certified Service Provider.
child company
A Company that can inherit its tax profile from a parent company. A child company can have only one parent company. A child company can act as a parent company to another child company.
Comma Separated Value (CSV)
A text-based file format that uses:
  • Comma characters to delineate columns
  • Line breaks to delineate records
company
A model of your business from a sales and use tax perspective. See also Parent Company; Child Company.
company code
A unique label for each company that must match the code used by the accounting, ERP, e-commerce, m-commerce, or POS application to identify the company. See also Default Company.
CSP
See Certified Service Provider (CSP).
CSV
See Comma Separated Value (CSV).
custom tax code
Any Tax Code added or imported to the Admin Console.

D

default company
Any Company designated as such to satisfy an AvaTax requirement that one company be the default company. AvaTax uses the Company Code of the default company to process transactions received without a company code. See also * (asterisk).

E

ECMS
See Exemption Certificate Management System (ECMS).
ECMS exemption certificate entry
Information from an exemption certificate, but not the exemption certificate itself. This information is stored and managed in AvaTax and used in place of the actual exemption certificate.
ECMS Cert ID
A unique identifier for an ECMS exemption certificate entry in AvaTax.
Enterprise Resource Planning (ERP)
An integrated computer system used to manage corporate assets, including financial resources. See also accounting, ERP, e-commerce, m-commerce, or POS application.
ERP
See Enterprise Resource Planning (ERP).
exemption certificate
A document certifying a business or an individual is exempt from a tax liability. Exemption certificates are stored and managed in a "system of record".
exemption certificate entry
Information from an exemption certificate, but not the exemption certificate itself. This information is stored and managed in AvaTax and used in place of the actual exemption certificate.
exemption certificate entry details
The specifics of an exemption certificate entry including information given by the issuing region.
Exemption Certificate Management System (ECMS)
An AvaTax feature that allows you to manage information about customer-related exemption certificates for all companies in your AvaTax account. ECMS is free for all users.
exemption exposure
A table on the home tab that displays the exemption exposure of the an AvaTax account, including warnings based on the age of the exemption exposure.

F

filter
The combination of fields values in a filter bar used to display specific records in a list.
filter bar
The set of fields and the filter button located above a list.
FR020100
An AvaTax System tax code representing a common method of shipping a product. This is the only AvaTax System tax code provided to AvaTax Basic subscribers.

G

Goods and Services Tax (GST)
A multi-level value-added Canadian tax payable on most products and services.

H

home rule state
A state with local taxing authorities that have chosen to collect and administer sales or use tax independently from the state.

I

import format
A format for the import of Items, exemption certificates, company locations, tax rules, and transactions.
interstate transaction
A transaction in which the origin and destination are located in different states.
intrastate transaction
A transaction in which the origin and destination are located in the same state.
item
A label that represents an individual product, service, or charge.

J

Jurisdiction Finder
A utility to add local jurisdictions, based on a company address or ZIP code for those United States jurisdictions that have many local jurisdictions.
jurisdiction override
A combination of address information, dates, and jurisdictions that changes how AvaTax sources a tax jurisdiction.
jurisdictions
The sufficient connection a business has with a taxing jurisdiction. This connection obligates the business to calculate, collect, report, and remit tax.

L

liability worksheet
A monthly summary of tax activity and liability by state. The worksheet provides up-to-date financial information for review and reconciliation with an accounting, ERP, e-commerce, m-commerce, or POS application. This information is then used to complete state, county, city, and special tax jurisdiction tax return forms.
list
A data display consisting of a header row with column names and one or more records with hyperlinks.
location
A record of the physical presence of a company or its personnel.

M

monitoring
A method to know what activity has taken place for an AvaTax account.

N

New Company wizard
A wizard to add a new company, separate from the four tabs that define a company once it is created.
nexus
The sufficient connection a business has with a taxing jurisdiction. This connection obligates the business to calculate, collect, report, and remit tax.
 

O

Onboarding
The process used by Avalara Support to implement Certs for a subscriber.

P

P0000000
An AvaTax System tax code that assumes an item is taxable in all jurisdictions. If the tax code field for an item is left blank during import, AvaTax assigns tax code P0000000.
parent company
A Company that creates and maintains its own tax profile. A parent company can have one or more child companies.
partner registration
The registration of an Authorized Avalara Partner.

S

sales tax

A transaction tax collected and remitted by an in-state seller with a "substantial physical presence" in the taxing jurisdiction.

See Software Developer Kit.
self-administered state
See home rule state.
self grant

The permissions granted by an Authorized Avalara Partner to itself.

seller's use tax
A transaction tax collected and remitted by an out-of-state seller with no physical location, but with a "substantial physical presence"in the taxing jurisdiction.
separate reporting entity
A Company that maintains its transaction history independent from any parent company or child company. See also § (section mark).
Software Developer Kit
A set of development tools used by a software engineer to integrate an Accounting, ERP, E-commerce, M-commerce, or POS Application with AvaTax.
SST state
A state that has been determined by the Streamlined Sales Tax Governing Board to have changed their sales tax administration law so that they meet all of the requirements set forth in the Streamlined Sales and Use Tax Agreement. Also called SST member state. See also Returns state.
SSTP
See Streamlined Sales Tax Project (SSTP).
Streamlined Sales Tax Project (SSTP)
An effort to simplify and modernize sales and use tax collection and administration in the United States.
system of record
An accounting application, database, or a paper or electronic filing system used to store and manage exemption certificates. Certs is a "system of record."

T

Tangible Personal Property (TPP)
Personal property that can be seen, weighed, measured, felt, or touched, or that is in any other manner perceptible to the senses.
Tax Calculator
A utility used to test Tax Profiles in a Basic and an Advanced model.
tax code
A unique label used to group Items (products, services, or charges) together. Tax codes are used in tax rules to create custom taxing scenarios. See also AvaTax System Tax Codes; Custom Tax Code.
Tax Code Picker
A dialog box launched from tax rules or Items that allows a tax code to be selected.
Tax Identification Number (TIN)
A unique nine digit identifier assigned to a company for tax reporting purposes. Also called taxpayer ID.
tax notice
A notification from a tax jurisdiction informing a tax account holder of a requirement, adjustment, or error involving their tax account.
tax profile
The collection of jurisdictions, tax codes, tax rules, and Items that define the taxing policy of a company.
tax rule
The combination of jurisdictions, tax codes, tax types, and dates that control how AvaTax processes transactions for items.
tax summary chart
A chart on the home tab that displays total sales and total tax amounts for an AvaTax account based on settings for each Admin Console user.
tax type
A way to control whether sales tax rates or seller use tax rates are used when processing certain transactions in the United States.
test company
Any company marked as such and used for testing purposes only. See also Company.
TIN
See Tax Identification Number (TIN).
TPP
See Tangible Personal Property (TPP).
transaction
A document (invoice, credit memo, or return) with one or more lines that records:
  • Document and line details needed to process a transaction.
  • Results of the transaction, including taxes, sourcing information, and tax codes.

U

user
An account used by an individual to access the Admin Console. A user includes login credentials and security restrictions.
